On this tab, you specify information common to a set of lines in the Purchase request (PR).
For rules on how to use the fields, see Detail form.
Header
- Purchase request: Identifier of the request, unique in the application. This is initialized by the application, but you can change it.
- Name: Name of the request. To be used if the identifier is not a meaningful code.
- Issued by: Initialized with the connected agent, but can be changed.
- Status: Current Status of the PR. You can change it in creation mode; see Purchase request statuses.
- Urgent PR: To be checked for information purposes as applicable.
- Comment: You have several lines (
icon) to provide details about your need.
PR characteristics
- Source: PR type, initialized according to the chosen creation (see Creating a purchase request) and cannot be changed.
- Work order (if generated by a Work order): Work order for which the PR is being issued. The work order must have been validated.
- Delivery desired (if Work order source): Work order start date (or PR creation date if the PR was created after the work order had started).
- Contract and Period:
- To be filled in if the request is to be allocated to a contract for which specific terms and conditions were negotiated.
- Filled in and cannot be changed for PRs corresponding to the payment of a maintenance contract, generated automatically according to the purchase calendar.
- Read-only if several purchase request lines refer to several contract periods.
- Supplier: To be filled in only if it is common to all purchase lines (PRLs).
- Budget: Budget to which the purchase is allocated. To be filled in only if common to all PRLs.
- Cost center: Center to which the purchase is allocated. To be filled in only if common to all PRLs.
- Delivery date: Desired delivery date.
- Delivery organization: Default value, that of the issuer, but can be changed.
- Package: Informative text.
Customer/Company/Management
When it is the CUSTOMER_PR_DET custom form, the Customer/Management/Company fields are displayed:
- Customer: Initialized with the logged in agent, but can be changed.
- Management: initialized with the customer selection, but can be changed.
- Company: Initialized with the customer selection, but can be changed.
- Manager: Initialized with the customer selection, but can be changed.
If you change the supplier when the PR already includes lines, the catalog data of these lines will be updated automatically.
Max delivery date: it is possible by customization to have the "Max delivery date" field appear. This field is calculated automatically based on the maximum date of the various purchase lines.
To make this field appear, switch to customization mode and add a field. In the "Expression" area of the new field, enter the following value:

Amount of the PR
- Exchange rate: The rate between the reference currency and the supplier's currency. The exchange rate is completed on the order with the rate specified in CARL Source. It is updated when the PR is validated, then the order if any, and then remains fixed until it is closed.
- Supplier currency: Amounts expressed in the supplier's currency.
- Reference currency: Currency used by default in the application, and amounts expressed in that currency.
- Total amounts excluding taxes and including taxes: The sum of these amounts for all the PR lines.
Rules for initializing data related to Customers / Company / Management:
If the customer is entered, the main Management, the Company, the Purchasing Manager, the Cost Center and the Budget of the customer are then transferred to the PR as well as the Purchase Lines.
If the customer is entered, and it does not have a Cost Center or a Budget, the Budget is then initialized by the Company, and the cost center by the main Management.
If the Company is entered, the Budget is then transferred to the PR as well as the Purchase Lines.
If the Management is entered, the cost center is then transferred to the PR as well as the Purchase Lines.
Update of the rate terms: when the user changes the supplier code on the PR, the user is asked if he/she wants to update the rate terms. This processing consists in reupdating all the PRLs (when possible) according to the supplier catalog links.
For a PO with a status of "In preparation," if, on the [General] tab, supplier "A" is replaced with supplier "B," then the user receives the following message: "Do you wish to update the rate terms?"
If the user clicks on No, then no change is made to the PRLs.
If the user clicks on Yes, then changes can be made to the PRLs.
- PRLs that do not have a supplier retrieve supplier "B" entered on the [General] tab. Information on the PRLs (price, unit, reference number, name, discount, turnaround time) is not changed.
- PRLs that are not allocated to supplier "B" but which are referenced in the catalog of supplier "B" are updated. Supplier "B" is thus carried over to the PRL along with data coming from the catalog (price, unit, reference number, name, turnaround time).
- PRLs that are not allocated to supplier "B" and which are not referenced in the catalog of supplier "B" are not updated. Supplier "B" is not carried over to the PRL.
Exception: there is no updating of the prices, unit, reference number, name, and turnaround time if the item/service is referenced several times in the catalog. In these cases only supplier "B" is sent to the PRL.
Comments:
- All PRLs that could not be initialized by the job are highlighted by a red indicator.
- All PRLs that have been initialized by the catalog are highlighted by a white indicator.
Special rules for duplicating PRs with Customer / Company / Management:
When a PR is duplicated, the Customer / Company / Management fields are reused as such, provided that the connected agent is not associated with a customer.
When a PR is duplicated, the Customer / Company / Management fields are initialized by the connected agent provided that it is associated with a Customer.
