Generating a prepared inventory

As well as creating and managing a prepared inventory via the [Prepared inventories] function, a prepared inventory can be generated:

Generation from inventory reordering,

  1. In the [Stock] module, select the [Reorder] function.
    → The reorder search form is displayed ("Criteria" tab).

  2. Enter your criteria and select the "Reorder" tab.
    → The list of items to be reordered (corresponding to the criteria) is displayed.

  3. Select the lines to be inventoried.
    if you do not select any lines before proceeding to the next step, CARL Source assumes that all lines are to be taken into account.

  4. On the actions menu , choose "Generate a prepared inventory."

  5. After confirmation, CARL Source generates a new prepared inventory:
    → with the status "In preparation,"
    → with the Issuer field set to the current user value,
    → with lines corresponding to the selection made in the "Reorder" tab.

Lines are only retained if they:

 

No distinction is made between lines associated with "Reorder" and those specific to "stock level" management.

 

Generation from the inventory movement history

  1. In the [Inventory] module, select the [History of movements] function.
    → The list of stock movements is displayed (the contents can be adjusted via the "Criteria" tab).

  2. Select the lines to be inventoried.
    if you do not select any lines before proceeding to the next step, CARL Source assumes that all lines are to be taken into account.

  3. On the actions menu , choose "Generate a prepared inventory."

  4. After confirmation, CARL Source generates a new prepared inventory:
    → with the status "In preparation,"
    → with the Issuer field set to the current user value,
    → with lines corresponding to the selection made in the "Results" tab.

Lines are only retained if items are present in the warehouses/locations specified in the stock movement history lines.

 

If no locations are specified for a given stock movement, only the item is retrieved.

 

Generation from an existing prepared inventory with "Closed" status, for which the inventory was not completed for all lines

  1. In the [Stock] module, select the [Prepared inventories] function.
    → The list of prepared inventories is displayed (you can adjust the contents via the "Criteria" tab, in particular to filter on "Closed" status).

  2. The prepared inventory is generated via the actions menu , by selecting "Create an inventory on non-inventoried lines":
    → either from the list of prepared inventories - in which case the action is authorized only:

→ if a single prepared inventory is selected in the list (this prepared inventory is the one to be used as a working basis),

and if the status of this prepared inventory is "Closed,"

and if this prepared inventory contains lines which had not been inventoried when it was closed (i.e., for which no "Quantity recorded" had been entered).

→ or from the detail screen for the prepared inventory to be used as a working basis, in which case the action is only displayed:

→ if the status of this prepared inventory is "Closed,"

and if this prepared inventory contains lines which had not been inventoried when it was closed (i.e., for which no "Quantity recorded" had been entered).

  1. After confirmation, CARL Source generates a new prepared inventory:
    → with the status "In preparation,"
    → with information in the [General] tab identical to those of the original prepared inventory, except for the following fields (which are reset):
    • Date created
    • Scheduled performance date
    • Note No.
    • Execution comment

→ with lines corresponding to the lines not processed when the original prepared inventory was closed (i.e. lines for which no "Quantity recorded" had been entered).

Batches returned on these lines correspond to batches existing at the time 't' (i.e. at the generation time):
