The purpose of reordering is to have sufficient quantities of items in inventory.
CARL Source builds a list of purchase request proposals for all items for which the quantity is below a critical threshold based on the following data:
- Procurement conditions of the item,
- Supplier's purchasing conditions, if there is only one supplier in the item catalog,
- Quantities in inventory kept up to date by Inventory inward movements and withdrawals and taking inventory.
If necessary, the warehouse worker will adjust this list. They can:
- Modify the supplier or the warehouse,
- Modify the quantity or price,
- Add or delete lines.
Then he/she launches automated creation of the corresponding purchase requests or Transfers by CARL Source; see Launching reordering.
Reorder modes
CARL Source can operate according to two separate modes:
- General reorder: quantities in inventory are calculated on all warehouses in the application.
- Reorder by warehouse: the quantities in inventory are taken into account warehouse by warehouse.
The reorder mode is a global setting of the application.
You access it via the action menu
for the functions of the [Stock] module.
Items to be reordered
The items concerned by the reorder are those:
- Managed in inventory (check box on the Item [General] form),
- Having reorder data:
- General reorder: "Inventory Reorder" check box on the Item [Reorder] - general tab, and the minimum quantity filled in,
- Reorder by warehouse: a warehouse reorder line filled in with the reorder mode and minimum quantity on the Item [Procurement] - by warehouse tab.
The items are offered by CARL Source if the available quantity is equal to or below the minimum reorder quantity, with:
Quantity available = Quantity in inventory + Quantity order and not received + Quantity in transit - Quantity reserved
The minimum reorder quantity depends on the reorder mode selected in the Item [Reorder] - General or Item [Reorder] - By warehouse tab
- If the reorder mode is fixed,
Quantity to be ordered = Minimum order quantity
- If the reorder mode is variable,
Maximum quantity - Quantity available = Minimum order quantity
The quantity offered depends on the minimum purchase quantity in the Item [Catalog] tab
- If the minimum order quantity is greater than the minimum purchase quantity,
Offered quantity = Minimum procurement quantity
- If the minimum order quantity is less than the minimum purchase quantity
Offered quantity = Minimum purchase quantity
Generated purchase requests or POs
If the reorder is done:
- with a supplier,
→ CARL Source creates one or more purchase requests or POs.
- with another warehouse,
→ CARL Source creates one or more Transfer requests (reorder type = "Restocking").
Grouping of the requests depends on the "Creation of PR by supplier" setting. This setting is defined in the profile:
- If it is Yes, CARL Source creates a separate request for each supplier and destination warehouse.
- Otherwise, requests are grouped according to currency and addressee type (supplier or warehouse).
