Transfer request statuses

Status management allows you to know the stage of a transfer request (TR).

In preparation: either the request is in the process of being made by the requestor and cannot be validated yet, or it has been rejected by the validator.
Pending validation: the TR is complete and can be validated by a manager.
To be processed: the request has been taken into account and the supplying warehouse will be able to start filling in the lines shipped on the [Shipping] tab.
The request may be created directly with the "To be processed" or "Pending validation" status.
Processed: All the items of the TR have been shipped.
Received: The TR is in the receipt process; items have been delivered.
Closed: All the items of the TR have been delivered.
Canceled: The request shall no longer be taken into account. This status is irreversible.

Transfer request workflow

Sending the request

A warehouse worker notices that an item is lacking in inventory but is present in other warehouses.
The reorder mode for this item in his/her warehouse is "Mixed" or "Restocking."

A transfer request can also be issued via a reorder.

Once the warehouse worker has entered their transfer request, they then records it. It has the "In preparation" status.
When the request is deemed complete, they change it to the "Pending confirmation" status with the [Request approval] action.
In the meantime, if its need is no longer valid, the request may be cancelled.

If his/her profile allows, the issuer may create the request directly with the "Pending validation" or even "Validated" status.

Validating the request

The warehouse worker to whom the transfer request is sent, or a manager, takes the transfer requests (TRs) into account pending the relevant validation:

If the TR is accepted, it changes to the "To be processed" status, and can no longer be modified
Otherwise, it returns to the "In preparation" status.

Shipping of items

The supplying warehouse prepares the items and progressively enters the items and quantities shipped with the [Shipping] function. Completed transfers appear on the [Shipping] tab of the request.

Receiving items

Items are routed to the requesting warehouse.
Upon each delivery, the storekeeper enters the quantities received with the [Receipt] function.
With the first delivery, the TR changes to the "Received" status."

Closing a transfer request

Once all the lines of the TR have been received, the TR can change to the "Closed" status; depending on the CARL Source settings, this change of state is carried out:

By a user action,
Automatically once receipt is total,
As soon as the order is closed.
