Work order scheduling confirmation
Resources > Scheduling of resources > Work order scheduling confirmation

The scheduling confirmation is based on the value of the "To be scheduled" date item in the details of a work order.
This validation allows a 2-step process in order to assign resources to the work orders and in a second step to confirm the assignment with a manager, for example.
There are 2 methods of confirming work order scheduling:

Mode A: scheduling confirmation

This default mode is used to prepare the scheduling of resources and confirm the scheduling of work orders and associated resources by a manager.
This behavior is also useful for retaining data from unfinalized work orders before sending them to the field teams' mobile phones (Carl Touch add-on).

Prerequisites

Procedure

  1. The user opens the scheduling of resources.
→ The scheduling of resources has, in the work order basket, all the work orders relating to the current date.

  2. The user selects the "Confirm schedule" action via the button of the work order basket.
→ The application opens a pop-up listing the work orders with assignments in the period displayed on the screen, and the "To be scheduled" box of which is checked.

  3. The user can then view the selected work orders and confirm the scheduling.
→ On validation, the application unchecks the "To be scheduled" box thereby indicating that the work order is ready to be processed by the teams.

In CARL Touch, the work orders received are work orders for which the "To be scheduled" data item is unchecked.
→ Work orders are sent to the field teams on their mobile device only when the scheduling is confirmed ("To be scheduled" box unchecked.)

This process makes it possible to withhold data updates to mobile devices on work orders whose scheduling is not yet satisfactory, and also reduce the number of exchanges of temporary data that are not essential to the qualified staff for whom they are intended.

Mode B: With no scheduling confirmation

This mode is the operating process for application versions lower than version 6.
It allows the scheduling of resources manager to dispense with a confirmation step. The "To be scheduled" box is not checked as default when creating a work order.

The data is sent on the fly in the case of the CARL Touch add-on.

Prerequisites

Procedure

  1. The user accesses the scheduling of resources.
→ The scheduling of resources has, in the work order basket, all the work orders relating to the current date.

  2. The user schedules /changes an activity for a resource related to a work order.
→ The application creates/changes the resource line accordingly.
In the CARL Touch context, the change is immediately sent to all the teams concerned by the work order.
Pay attention to the volumes of data exchanged for each minor planning change.

On a "To be scheduled" work order, the change to the list of resources (add, change or delete a line) or from the scheduling of resources, automatically unchecks the "To be scheduled" box.
