CARL Source offers you different levels of controls for each budget and Cost center .

 

Amount controls

CARL Source offers you different levels of controls that may differ according to the budgets and Cost centers.
Controls are performed at the time of commitment, that is, at the time of validation.

• No control: No control is applied to the expenses for this budget or this cost center.
• Total overrun test: If the amount committed by the validation leads to an overrun of the total amount of the expenses (committed + incurred) compared to the total amount allocated (allowances) to this budget or cost center, a non-prohibiting warning message will be displayed.
• Total + anticipated overrun test: If the amount committed by the validation leads to an overrun of the total amount of the expenses (committed + incurred) compared to the amount of the allowances, prorated to the current month, a non-prohibiting warning message will be displayed.
• Routine warning: With each action causing a commitment entry, CARL Source displays a non-prohibiting warning message indicating the status of the cost center or budget:
  Total committed, Total incurred, Total allowances, Allowances prorated to the period, and Balance.
• Prohibited if overrun: If the amount committed by the validation leads to an overrun of the total amount committed or incurred compared to the total amount allocated (allowances) to this budget or cost center, an error message will be displayed and validation will be forbidden.

 

Example:

For year 2007, the total allowances of cost center C1 came to €10,000.
As of 30 September (three quarters of the year having passed), the total committed amount is €6,500 and the total incurred amount is €2,000.

I validate a work order allocated to C1, the planned amount of which is €500.

The total allowances = €10,000 - Total allowances prorated to the period = €7,500 (i.e., 10000 × 3/4)
Total expenses = €9,000
Balance = €1,000 (10%) - Balance prorated to the period = <0

→ There is no overall overrun, but an anticipated overrun. I will therefore be able to validate my work order.
However, I will not be able to validate a work order for €2,000 allocated to C1 if the control for C1 is "Prohibition if overrun."

 

Date controls

To prevent account statuses from changing long after the end of the month due to late entries, you can limit the number of days of back-dating to certain profiles.

Example:

The date is 20 April and my profile authorizes 10 days of back-dating.

→ I can enter a labor dated 10 April, but I cannot enter a labor dated 9 April.
The same will be true for an item receipt, an inventory movement, a measurement reading, and a validated contract period start date.
