When an electronic signature is enabled on a change of state of an object, an electronic signature pop-up will be displayed as soon as the user asks to change the state of this object.
All signatures and attempted signatures for this transition are tracked.
The electronic signature inhibits the transition. No status transition is performed until the signature is confirmed.
The transition screen with a signature can be canceled. In this case, the user returns to the details of the object being changed, which then retains its initial state.
Example of how to set up the signature for a status transition
The user wants all confirmations of an asset (i.e., the transition from the "In preparation" status to the "Confirmed" status) to be electronically signed.
Configuring the signature in the status workflow
- In the [status workflow] function, access the MATERIALSTATUS workflow.
- In the [list of statuses] table, enable the "In preparation" status line.
- In the [Transitions "In preparation"] table, check the "Signature" box on the line corresponding to the "CONFIRMED" status.
- Save or confirm.

Since the signature is enabled on the status change, when a user requests the validation of an asset, the transition screen will contain information specific to the electronic signature.
For other transitions, not requiring a signature, the transition screen and process remain unchanged.
The signature section, added to the transition screen, contains the following fields:
- Reason for signature: the user has to choose one of the offered reasons to confirm their signature.
- Comment: the user can enter a comment when signing the status change.

Identify confirmation: authentication takes place according to the configured approval mode:
- By password: Users re-enters their login and password to confirm the operation.
- By one-time code: The user requests a one-time code, receives it by e-mail, then enters it to validate the operation.

Global status changes are electronically signed in one go.
Using the example of the asset:
- In the [Assets] function, define filters to isolate the desired assets.
- In the [Results] tab, tick the relevant assets in the table (in the "In preparation" status in the example).
- Apply the "Confirm" transition to these assets.
→Si no check inhibits the transition for these assets, the transition screen with the specific section for the electronic signature is displayed.
- Fill in the fields required for the signature, complete any other fields and then confirm.
