When an electronic signature is enabled on an attribute of an object, an electronic signature popup will be displayed as soon as the user asks to save change to this attribute.
The electronic signature only applies when the value of an attribute is changed.
No signature can be triggered when creating or deleting an element. To monitor these 2 actions, use the audit function.
Entering a value in an empty field and deleting a value in a field are, however, considered as changes and can therefore be electronically signed.
Example of setting up the signature for an attribute change
If the user wants any change to the priority of a work order to electronically signed.
→ It must then declare, from a dictionary, that the Priority attribute of the Work order object requires an electronic signature.
Thereafter, users will see an additional pop-up when records affect this field.
All signatures and attempted signature for the priority change will then be tracked.
Configuring the signature in the dictionary
- In the [dictionary] function, access the WO/Work order object.
- In the [Attributes] tab:
- Search for the corresponding attribute (workPriority/Priorité)
- check the "Signature" box
- Save or confirm.
pop-up for the electronic signature for a change
Since the signature is enabled for the Priority of work orders attribute, an additional step is required when saving the work order if a user changes the Priority value.
During saving, as the user is required to sign this change, a "Change with signature" pop-up is thus displayed.
On this pop-up, the following elements are present:
- Reason for signature: the user has to choose one of the offered reasons to confirm their signature.
- Comment: the user can enter a comment when signing a change.
-
Identify confirmation: authentication takes place according to the configured approval mode:
- By password: Users re-enters their login and password to confirm the operation.
- By one-time code: The user requests a one-time code, receives it by e-mail, then enters it to validate the operation.
- List of "Attributes edited": for each attribute requiring a signature, reminder of the initial value and the new value to be saved.
- If no fields requiring a signature are changed, the usual saving process takes place, without displaying the signature pop-up.
- If more than one field has been updated, as soon as any one has to be electronically signed, the process will have to be signed for these changes to be saved, for all the fields that have been changed.
- Several fields requiring a signature can be changed at the same time on a form. In this case, only one signature will be required, and it will apply to all these fields.
If a date attribute is changed, the "Changed attributes" list displays its value according to the ISO8601 standard, in the following format: "AAAA-MM-JJ T hh:mm:ss Z"
The electronic signature step inhibits the change saving process. No changes will be saved until the signature is confirmed.
The current detail screen can be returned to by cancelling the pop-up.
The changes entered are still visible on the form, but have not yet been saved (as long as the signature-dependent fields have not been signed).
